Rental Agreement

This is your guest agreement that must be signed and faxed back to (865)908-2628, mailed to 1110 Rocky Creek Way, Pigeon Forge, TN 37863 or scanned and emailed to reservations@parksideresorts.com. We must have the signed guest agreement returned to us before your check in, along with a copy of your driver’s license and copy of the credit card used for your reservation. If we have not received these documents, this will delay your check in time on the day of your arrival.

Please Note: You must be 25 years of age or older to rent a cabin or chalet, unless an exception has been made by a member of management in advance.

Reservation policy: When a reservation is placed, 50% of the reservation amount, including tax and any applicable fees, is expected as a deposit. When that deposit is received, the reservation is considered confirmed and an email will be sent as acknowledgement of that deposit and confirmation. The balance of the reservation, fees, and tax will be charged to the credit card on file 10 days prior to your arrival. If you wish to charge that balance to a different card, you must contact our office before 10 days prior to your arrival and provide the new card information. Otherwise, the balance will be charged to the card on file. At that time, you will be sent via email an updated confirmation as well as directions to your unit. Please contact our office if you do not receive directions to your cabin prior to your day of arrival.

Check In: Check in time begins at 4:00 p.m. Early check ins are not available. During peak times there may be a slight delay and your patience is appreciated. On the day of your arrival, you may check in at our office at: 1110 Rocky Creek Way, Pigeon Forge, TN 37863 any time after 4:00 p.m. to get the key code for your cabin. If you will be arriving after 9:00 p.m. please make our office aware of this. Check out time is at 11:00 a.m. An additional charge will apply for late checkouts.

Starter Set of Supplies: Upon arrival, we will provide you with paper towels, toilet paper, dish soap, dishwasher detergant, laundry detergant, shampoo, conditioner, bar soap and garbage bags. Please note, this is a STARTER supply only.

Rates: Rates are subject to change without notice. ACCOMMODATIONS BY PARKSIDE, LLC will not be responsible for errors on confirmations, e-mail, etc. In addition to room rate there will be a processing fee and cleaning fee that varies depending on cabin size as well as sales tax.

Occupancy: Occupancy is limited to the number of people booked into that unit only. House is only booked to accommodate the number that the house will hold per sleeping arrangement. This number is to include all children and adults. Occupancy limits will be strictly enforced. Guests violating these rules will be asked to leave the premises forfeiting all remaining rent. This is considered a fire code violation. We do not tolerate ANY type of house party. If you are found having a house party you will be asked to leave and law enforcement may be called if necessary. There would be no refunds if you are required to depart due to a house party.

Parking: Parking is limited to one car per bedroom.

Cancellation Policy: Reservations are considered confirmed when the deposit is paid and there are NO REFUNDS. No changes or cancellations can be made unless you have purchased trip insurance, no exceptions. ***If a reservation is cancelled, you will forfeit any payments already made on the reservation.*** In the event of failure of appliances, whirlpool, hot tub, central heat and air, any public utilities including satellite or cable TV, we will make every effort to correct the malfunction as soon as possible. Neither the rental company nor the property owners will be obligated to refunds in the event of failure. You are responsible for the entire booking once your reservation has been made and confirmed.

Travel Insurance: This is available, please call our office for details.

Refunds: All our units are privately owned and because of such they may be removed from the rental program due to being sold by owner. If this does occur after placing a reservation you agree that Accommodations by Parkside reserves the right to move your reservation to another unit equal to or nicer than unit reserved. Unit descriptions and amenities are subject to change without notice. Neither the rental company nor the property owners are obligated to give replacements or refunds in the event of failure or absence of any items, or for any public utility failure.

Pets: As we may have guests with allergies, we have established a NO PETS policy. If a pet is found in a cabin, this is a violation of our policy; you will be asked to leave forfeiting all remaining rent and any security deposit. There will also be a $500 cleaning fee charged to you to cover the carpet and furniture cleaning. Following A.D.A. and The State of TN guidlines, we do not allow “emotional support” animals. If you are bringing a “service” animal, we do need you to let us know this PRIOR to your arrival.

Theater Room: Some of our cabins are equipped with sophisticated electronics such as home theater rooms with surround sound systems. If home theater, TV, DVD, VCR or cable is found disconnected, there will be a fee to you of $100 to reconnect. GAME SYSTEMS ARE NOT TO BE CONNECTED TO THE HOME THEATERS.

Pest Control: To ensure the best guest experience, we perform regular pest control maintenance on all of our rental cabins. Because our cabins are located in wooded and mountain areas we cannot guarantee that they will be pest free. An example is the ladybug. The Great Smoky Mountains National Park introduced the ladybug several years ago to counter non-native insects that were greatly harming some trees in the Park. Ladybugs are sometimes so prevalent that they will return to your cabin after we have cleaned. If this occurs, please contact the office and we will do our best to help you. We do not offer refunds for pests.

No smoking policy: all of our homes have a no smoking policy. Rules are strictly enforced. If smoking is detected inside the cabin after your departure, you are subject to additional charges.

Guest’s responsibilities: Guests will assume full responsibility for damages, excessive cleaning charges or missing items from the cabins due to negligence. Please pay special attention to TV remotes, there is a $45 fee per remote if it missing or damaged upon your departure. Guests are NOT to move ANY furniture inside or outside the house. If any furniture is found to be moved, there is a minimum fee of $250.

Noise Policy: The resort maintains quiet hours between 11pm and 7am. I understand that if my party can be heard outside of our cabin during our stay, there will be a visit from security with one warning. If it requires any subsequent security visits, I will be charged $250 and required to vacate the cabin at that time with no refunds. Guests will immediately be evicted for any disorderly conduct deemed unsafe by Accommodations by Parkside, LLC. Guest agrees not to behave in any unlawful or improper manner in or around his/her rented property, nor shall unreasonably loud activities be carried on in any property or common areas. At no time are fireworks allowed in Parkside Resort, they are illegal. If your group is found lighting fireworks, there will be a $500 clean up/disposal fee and you will be required to check out with no refund. If there are any damages from the fireworks to Parkside Resort property or privately owned property, you will be responsible for the cost.

Hot tubs: Hot tub covers will be inspected after each rental. Damages to any cover will result in a $350.00 charge. Please use care in removing and replacing the cover to prevent damages. In using the hot tub please DO NOT use any oils or bubbles in the tubs – if so, there will be a $100 charge. DO NOT wear jewelry in the tub. Wearing makeup may cause a reaction due to the chemicals used in the tubs. Hot tubs are treated with bromine. If you have sensitivity to this chemical, please do not use the hot tub. We recommend that you shower before and after use of the hot tub. If a cleaning service is required during your stay, you will be charged a $100 service fee for dumping and filling the hot tub. This can be caused by not showering prior to use of the hot tub. If you have any medical conditions please contact your physician before using hot tub. Use the hot tub at your own risk. Please check water temperatures in the whirlpool, bath and hot tubs before entering.

Pool tables: Some of our cabins have pool tables. There will be a $15 charge to replace broken pool sticks and missing pool balls. If the felt on the pool table is damaged, there will be a $350.00 charge to replace the felt. Please do not place drinks or food on the pool table. Please be very careful when playing pool, so that other guests may enjoy the use of the table too.

Fireplaces: Fireplaces are disconnected and not to be used from May 1st thru October 1st.

Garbage pick up: We do daily garbage pick up at each cabin. We ask that you DO NOT place your garbage outside any time after 3 p.m. daily. We do have wild black bear in our resort and the garbage does attract them. They are very timid with humans, so do not be concerned. As with any wildlife, keep your distance.

Telephone service: Local phone calls are free. However, long distance calls are blocked. Prepaid calling cards or any other card using a 1-800 number to access is accepted.

Cable TV systems: You will be charged for any pay-per-view movie that is watched or attempted to receive.

Check-Out Procedures: In summer, set thermostat at 75 degrees, in the winter set at 60 degrees upon your departure. Dishes need to be placed in dishwasher with cycle left running. Dispose of leftover food. Trash should be bagged and put in outside garbage cans. Place all dirty towels in nearest tub or shower. Please leave the refrigerator on its original settings. Please note that if you fill the refrigerator upon arrival, it will take a few hours to cool back down to the appropriate temperature. If proper procedures are not taken, you may incur additional charges.

Liability: This rental property is under the management of ACCOMMODATIONS BY PARKSIDE, LLC, who acts only as an agent for the owners. Under no circumstances will ACCOMMODATIONS BY PARKSIDE, LLC be responsible for any loss, expense, damage, claims, injury, direct or indirect consequential or otherwise. ACCOMMODATIONS BY PARKSIDE, LLC reserves the right to refuse or discontinue service to any person and /or rescind any contract for accommodations or guest services. All properties are privately owned; Management Company, ACCOMMODATIONS BY PARKSIDE, LLC, and the homeowner will not be responsible for accidents or injury to guests or loss of money, jewelry or valuables of any kind. If legal action is needed guests will be responsible for all legal fees.

Inclement weather: The weather in Tennessee sometimes cannot be predictable. In case of impassable roads, we will try and accommodate you with another cabin of a similar type however, this is not guaranteed. If it is calling for inclement weather while you are staying with us, please make sure you get all supplies needed in case of power outage (flashlights, matches, extra non-perishable food, bottled water, etc.). ACCOMMODATIONS BY PARKSIDE, LLC and the individual homeowners will not be responsible for maintaining the conditions of roads, decks and driveways in the event of snow, ice, rain, etc. All of our units are located on county and city roads and are not maintained by the rental agency or homeowner. ACCOMMODATIONS BY PARKSIDE, LLC will not perform “rescue missions”. The guest agrees to take full responsibility for their safety as well as the passengers in the vehicle. The guest also understands that the risk of traveling in inclement weather may result in loss of property, damage, loss of life, etc.

After hours calls: We have an afterhours answering service. If you have an emergency, please call 888-908-6066 and leave a message with the nature of your emergency and a phone number that you can be reached at. Otherwise, please call back during normal business hours which are 9 a.m. to 9 p.m. eastern time.

Resort Ammenities: All children under the age of 16 must be under adult supervision while using any Parkside Resort common areas including swimming pools, putt putt course, game arcade, grille, fitness room, etc.

Swimming pool cabins and community resort pools:
SWIM AT YOUR OWN RISK. NO LIFEGUARD ON DUTY.
Safety Requirements:
1. Never operate cover while swimmers are in the pool.
2. Maintain a clear view of the pool whenever you operate the cover.
3. If using the cover as a safety barrier, always cover the pool while it is unattended.
4. Do not allow anyone unfamiliar with operation procedures to operate the cover; do not give the access code to any minors or adults unfamiliar with operation procedures.
5. Before operating the cover, always make sure wheel assemblies have not been pushed down.
6. If there are any operational issues or concerns, please contact the rental office.
7. Read all posted safety signage before enetering any pools.

Tepee Rentals:
1. I understand that bringing animals into the tepee is strictly prohibited.
2. I understand cooking inside of the tepee is prohibited and that all food must be kept inside the provided refridgerator, to not encourage unwanted wildlife encounters.
3. I understand that in the rare event of extreme weather such as tornado like conditions, relocating to a cabin or checking out may be required.

Your privacy is as important to us as it is to you. We are committed to keeping your information private. You can rest assured that your privacy will never be jeopardized. At no time will Parkside Resort share, sell or rent any information we receive about you.

I HAVE AUTHORIZED ACCOMMODATIONS BY PARKSIDE, LLC TO CHARGE THE CREDIT CARD NUMBER I HAVE GIVEN FOR THE RESERVATION. I ALSO AGREE TO ALL TERMS IN YOUR GUEST AGREEMENT.
